Approve a Workflow Form

Prerequisites


  1. Select Workflow > Workflow Queue in the Navigation Menu. The Workflow Queue tab window displays. The top pane displays a list of the forms waiting for your review and approval.
  2. Optional. If you are an administrative user or a user with workflow override enabled, an Act As dropdown is enabled in the Ribbon Menu. Select the named user you are filling in for to see what is in their workflow queue.
  3. Select the row you want in the top pane. The form displays in the window below.

    Tip:

    The trail of approvals for a form is included for each row in the top pane. To view who approved the form and when, click on the arrow in the row ID cell to display a list of Approvals for each form included in the workflow process. Click on the arrow in the form title bar to view the trail of approvals.

  4. Review the content of the form.
  5. Optional. Enter additional content in the form as needed such as a task description or basis of estimate discussion. Select the applicable cell and enter text as desired.
  6. Digitally sign and date the form. Click in the applicable named role box at the bottom of the form and click Signature in the Ribbon Menu. An image of your signature is added to the form. If needed, click and drag the image to the desired position. Enter the Date next to your signature.

    Tips:

    Selected forms may have more than one tab. If you don't see the signature block, verify you have selected the first tab. The first tab is typically the summary level for the form and contains the signature block.

    If you need to create a digital signature, click Signature in the Ribbon Menu and then click New Signature. A signature box displays. Use your mouse or electronic pen to create your digital signature and click Save for future use.

  7. Approve the form. Click Approve in the Ribbon Menu. The form is routed to the next person in the workflow queue and an email is sent to them noting they have a form ready to review and approve. When the last person in the queue approves the form, the form is saved to a named directory and the queue is cleared.

    Tip:

    Remember that a revision number is assigned to the form. The revision number is specific to the workflow process, project, and control account. When a control account successfully completes a selected workflow approval process, the revision number automatically increments (-, 1, 2, 3, ...) the next time a user initiates that workflow process for the control account.

  8. Optional. Close the Workflow Queue tab.
